ERP software built around how your business already works

Off the shelf ERP asks you to change your process to match the software. We do it the other way round. You get the modules you actually need, wired to the tools you already pay for, at a price agreed before anyone writes code.

Free first call. Fixed price before you commit. Source code handed over at launch.

The problem

The point where spreadsheets stop working

Almost every ERP project starts the same way. The business grew, the spreadsheets multiplied, and now nobody can answer a simple question without three phone calls. Stock says one thing in the warehouse and another in the file. Month end takes a week. The finance team rekeys the same invoice into two systems because the two systems have never spoken.

  • Four versions of the stock figure and no agreement on which is right
  • Purchase orders living in an inbox rather than a system
  • Month end assembled by hand from exports
  • Nobody can see today's numbers until someone builds a report
how we price it
free call ... 30 minutes
written plan ... within 48 hours
price ... fixed, not hourly
sprints ... 2 weeks each
source code ... yours at launch

If the price does not work we cut scope together until it does, before you pay anything.

Detail 01

What a first phase usually covers

We do not build all of it at once. The data model is designed for the whole system from day one, but you go live on the two or three modules that hurt most, then add the rest once the first ones are paying for themselves.

Inventory

One live stock number across every location, with reorder points that account for lead time rather than guesswork.

Purchasing

Purchase orders, supplier price history and landed cost in one place, so you know what an item really costs you.

Sales and invoicing

Quotes through to invoices and credit notes, with tax handled correctly for the country you are billing.

Accounts

A ledger that reconciles against the bank instead of a spreadsheet that never quite matches.

HR and payroll

Attendance, leave, salary runs and deductions, with the payslip formats your jurisdiction expects.

Reporting

Live dashboards for the people running the business, and exports for the people auditing it.

Detail 02

Your existing data comes with you

Most failed ERP rollouts fail at migration, not at build. We extract your history, clean it, remove duplicates, import it, and then reconcile the new totals line by line against your old books. You run both systems side by side for two weeks before anyone is asked to trust the new one.

By market

What changes depending on where you trade

The build is not the same in every market. Tax, accessibility law and data rules differ, and they change the design rather than just the paperwork. Here is what shifts.

US

For businesses in the United States

Sales tax is the part that catches most custom ERP builds out. Rates vary by state, county and sometimes city, and nexus rules decide where you owe at all. We wire the tax engine in during the build rather than bolting it on afterwards, and connect the system to the accounting stack you already run.

  • Sales tax by jurisdiction, with nexus rules applied per customer address
  • QuickBooks Online and NetSuite integration for finance teams already committed to one
  • ACH and card payment reconciliation through Stripe or Authorize.Net
  • 1099 contractor reporting alongside W2 payroll data
  • Integration with ADP or Gusto rather than replacing payroll you are happy with

UK

For businesses in the United Kingdom

VAT and Making Tax Digital shape how a UK ERP has to behave. Records need to be kept digitally and returns submitted through approved software, so the ledger has to be built to produce that, not to produce a spreadsheet someone retypes.

  • VAT handled at the correct rate, including reduced and zero rated goods
  • Making Tax Digital compatible record keeping and return preparation
  • Xero and Sage integration, which is where most UK finance teams already live
  • CIS deductions for anyone in construction
  • PAYE, National Insurance and pension auto enrolment in the payroll module

EU

For businesses in Europe

Selling across borders inside the EU means VAT that changes with the customer country, and rules that treat a business buyer differently from a consumer. Add GDPR on top and the data model itself has to be designed for it, because retrofitting deletion and export rights into a finished system is expensive.

  • VAT per destination country, with reverse charge handled for B2B sales
  • One Stop Shop reporting for cross border consumer sales
  • GDPR built in: data export, deletion, retention limits and an audit trail
  • A data processing agreement, and hosting inside the EU where you need it
  • Multi currency and multi language from the start rather than as a later project

Questions

Questions we get asked about this

3 answers
Q1 How long does a custom ERP take to build?
A first phase of two or three modules is normally 6 to 10 weeks. The full system depends entirely on how many modules you need and how messy the data migration is. We split anything longer into phases so you are using working software long before the whole thing is finished.
Q2 Is custom ERP cheaper than SAP or NetSuite?
Sometimes, and we will tell you when it is not. If your process is genuinely standard, a licensed product configured well is often the better buy. Custom wins when your process is the thing that makes you money and bending it to fit software would cost you more than the software saves.
Q3 Can it work alongside the accounting software we already use?
Yes, and usually it should. Finance teams rarely want to leave QuickBooks, Xero or Sage, and there is no need to make them. We treat the accounting package as the ledger and sync to it.
